Refund Policy

At exo31, we are committed to delivering professional creative services with clarity, fairness, and transparency. Due to the bespoke nature of design, branding, website development, and creative work, refunds are governed by the following policy.

 

1. General Policy

All payments made to exo31 are subject to the project stage reached at the time of cancellation or termination.

Because creative services involve time, strategy, and intellectual property, refunds are not guaranteed once work has commenced.

 

2. Website Design Projects

Before Work Begins

If cancellation occurs before work has started, a refund may be issued minus any administrative or consultation fees.

After Work Has Commenced

The initial 50% deposit is strictly non-refundable once work has begun.

After Design or Development Progress

If substantial work has been completed, additional fees may remain payable based on the percentage of work delivered.

After Completion

No refunds will be issued once:

  • The website has been completed

  • Final approval has been given

  • Files or access credentials have been delivered

  • The website has been launched or transferred

3. Branding, Logo Design, Print Design, Video Editing & Other Creative Services

Before Work Begins

A refund may be issued, less administrative costs.

After Initial Concepts or Drafts Are Delivered

A minimum of 50% of the total project fee will be retained.

After Revisions Have Begun

No refunds will be provided.

After Final Approval or File Delivery

All payments are non-refundable.

4. Revisions & Dissatisfaction

Refunds will not be issued due to:

  • Change of mind

  • Personal preference changes

  • Delays caused by the Client

  • Failure to provide project materials

  • Misunderstanding of services clearly outlined prior to commencement

exo31 provides revision rounds as outlined in project agreements to ensure reasonable opportunity for refinement.

 

5. Client Responsibility

Clients are responsible for:

  • Reviewing all drafts carefully

  • Providing timely feedback

  • Approving final work before release

Once approval is given, responsibility transfers to the Client.

 

6. Project Abandonment

Projects inactive for 30 calendar days or more due to lack of Client communication, feedback, or required materials may be closed without refund.

Restarting an abandoned project may require additional fees.

 

7. Refund Processing

Where refunds are approved:

  • Refunds will be processed via the original payment method where possible

  • Processing times may vary depending on financial institutions

  • Administrative, consultation, or third-party costs may be deducted

8. Chargebacks & Payment Disputes

Unauthorised chargebacks or disputes against legitimate services rendered may result in:

  • Immediate suspension of services

  • Legal recovery action

  • Debt collection proceedings

  • Recovery of legal and administrative costs

 

9. Exceptional Circumstances

exo31 reserves the right to assess refund requests on a case-by-case basis under exceptional circumstances.

Any goodwill refund remains entirely at the discretion of Bayvis Enterprises Ltd.
